7.  Folder and File Properties

ProjectWise uses Document and Folder Properties to store data about each file and folder for tracking and security. Folder security controls access and security of folder documents. Properties can be detailed, but users and managers will be most interested in: who created the document, who last updated the document, edit history of the document and by whom, and edit comments.

File Properties

Basic properties are shown in the lower and right window of ProjectWise Explorer.

The detailed file properties menu can be invoked by right clicking on a highlighted file , then selecting "Properties . . ." from the document menu

by Highlighting a file and pressing the Spacebar.

A tabbed file properties dialog appears.

The first tab, General, contains basic file properties. Fields not grayed out are editable, but use caution when changing fields using this tool. The properties dialog is more for information. Users should become familiar with the properties dialog and the information available.

Note at the bottom of the dialog, navigator keys allows the user to scroll through all the files in the existing folder.

The Security tab displays security settings for the document and for groups with ownership to the folder. It also shows the Workflows and States.

The Attributes and More Attributes tabs contained PRMS data. PW is customizable and future use for these tabs is being considered at this time. The File Properties contains standard data from Windows.

The Audit Trail tab contains a valuable tool that tracks the action, date user, and other data for each file. The Audit Trail can be printed or exported.

The Workspace tab pertains to MicroStation and GEOPAK applications. CADD users should be aware of this data when first starting a project and should verify settings.

Folder Properties

A detailed Folder Properties menu is similar to the file properties menu. It can be invoked by right clicking the highlighted folder for the document menu. Select "Properties ..."

OR

Highlight the folder and Press the Spacebar.

Note the information under the General tab.

The Workflow & State tab shows the workflow currently assigned to the folder. This information is important and is discussed in Workflows and States.

The Audit Trail tab under Folder Properties shows an audit trail for all documents in the queried folder. In the example below, three different documents are highlighted that have "checked in" and "attributes" changed.
